ETC.rent Cancellation Policy
Important Notice
All ETC.rent equipment is available by reservation only. We rent time, not usage, meaning that once your order is confirmed, the equipment, delivery date, labor, and any setup services are blocked off exclusively for your event. This makes the reserved equipment unavailable to other clients.
Because of this, cancellations may incur fees to cover lost rental opportunities and unrecoverable costs such as labor, prep work, subrentals, purchased materials, and other pre-production expenses incurred by Pro AV Source, LLC, the operator of ETC.rent.
Cancellation & Refund Policy For Equipment Rentals - Excluding Full Production, Staging & Trussing
Less than 24 hours / Same-Day Cancellation
100% of the rental invoice is due.
No refunds.
Less than 48 hours (up to day of event)
50% of the rental invoice (excluding Special Order items).
More than 48 hours
Full refund minus unrecoverable costs already incurred.
Weather-Related Cancellations
No refunds or credits for unused time due to weather on delivered equipment.
Special Order Items (No Exceptions)
Includes: carpet, drape, fabric, vinyl printing, banners, custom staging, scenic fabrication, engineering drawings, etc.
100% of the invoice is due.
These items are custom-made or procured specifically for your event and cannot be returned or reused.
Rain Date Policy For Equipment Rentals - Excluding Full Production, Staging & Trussing
Rain dates must occur within 3 months of the original event date.
Events rescheduled beyond 3 months may incur additional charges or may forfeit deposits/payments.
If the cancellation is due to an act of God (illness, death, weather, pandemic, etc.), you will be charged only actual costs incurred, as long as the job is rescheduled within 3 months.
Rain Date Cancellations
No refunds are provided.
If you choose not to reschedule, the cancellation is treated as a Same-Day Cancellation and billed accordingly.
Cancellation & Refund Policy For Full Production, Staging & Trussing
Less than 96 hours / Same-Day Cancellation
100% of the rental invoice is due.
No refunds.
More than 96 hours notice
Full refund minus any pre-production or special-order costs already incurred.
Weather & Other Uncontrollable Conditions
No refunds or credits for unused time on delivered items, regardless of cause.
Special Order Items
100% cancellation fee applies with no exceptions.
Rain Date Policy For Full Production, Staging & Trussing
If canceled within 96 hours due to an act of God:
No refund will be issued, but charges will remain as credit for 6 months, minus unrecoverable costs.
Rain Date Cancellations
Refunds are not provided.
If you choose not to reschedule, the cancellation is treated as a Same-Day Cancellation.
Force Majeure
Pro AV Source, LLC, the operator of ETC.rent, is not liable for delays or failure to perform caused by events beyond its reasonable control, including but not limited to:
- Severe weather
- Power outages
- Illness or death
- Pandemics or epidemics
- Government regulations
- War, strikes, or civil disturbances
- Natural disasters
- Other unforeseeable events
In such cases, ETC.rent may suspend or terminate the rental agreement without liability. We will notify you as soon as reasonably possible and resume operations once conditions allow.
By placing an order and paying a deposit, the renter acknowledges and agrees that ETC.rent is not responsible for losses caused by a Force Majeure event.
